Zoe Olivia Pilates – Client Terms & Conditions
By booking or attending a session with Zoe Olivia Pilates, you agree to the following terms and conditions. These are designed to ensure a safe, professional, and respectful working relationship for both instructor and client.

1. Bookings, Payments & Refunds
• All sessions must be booked in advance via text, email, WhatsApp, or through any official Zoe Olivia Pilates booking platform.
• Full payment is required at the time of booking unless otherwise agreed. Bookings are only confirmed once payment is received.
• Package sessions must be used within the stated timeframe (typically 6 weeks unless agreed otherwise). Unused sessions after this period may be forfeited.
• All payments are non-refundable, including for individual sessions and packages. If you are unable to attend your session(s), you may request to reschedule within the stated cancellation window.
• Prices are subject to change but will be honoured once a booking is confirmed.

2. Cancellations & Rescheduling
• A minimum of 24 hours’ notice is required to cancel or reschedule a session.
• Cancellations made with less than 24 hours’ notice will be charged in full.
• If Zoe Olivia Pilates cancels a session, an alternative will be offered, or the session will be credited.
• Repeated short-notice cancellations may result in refusal of future bookings.

3. Health & Medical Responsibility
• All clients must complete a Health Screening and Consent Form prior to their first session.
• It is your responsibility to disclose any injuries, medical conditions, illnesses, recent surgeries, or other relevant health issues.
• By attending a session, you confirm that you are fit to participate and that you have obtained clearance from your GP or healthcare provider if necessary.
• Pregnant and postnatal clients must confirm they:
• Have received medical clearance from their doctor or midwife to resume physical activity.
• Are not experiencing complications or health issues that would impact their ability to safely exercise.
• Any changes to your health must be communicated to the instructor before your next session.

4. Pilates Is Not Physiotherapy
• Zoe Olivia Pilates is a movement-based wellness service and does not provide physiotherapy or medical treatment.
• Pilates is not a substitute for professional medical advice, diagnosis, rehabilitation, or therapy.
• If you are under medical treatment or recovering from injury, please obtain appropriate medical clearance before participating.

5. Liability & Assumption of Risk
• While sessions are designed to be safe and effective, participation is at your own risk.
• Zoe Olivia Pilates is not liable for any injury, illness, loss, or damage sustained during or after sessions unless caused by proven negligence.
• Clients are expected to work within their limits, follow guidance, and stop any movement that feels unsafe or painful.

6. Mobile Session Requirements
• Clients must provide a clean, clear, and safe workout space suitable for movement.
• All pets must be secured away from the workout area during sessions.
• Equipment brought by the instructor should be treated with care; clients may be liable for damages caused by misuse.
• Outdoor sessions require a flat, dry, private area and may be rescheduled in poor weather.

7. Lateness
• If you arrive late, your session will still end at the scheduled time.
• If Zoe Olivia Pilates is late, the full session will be honoured or rescheduled.
• Repeated lateness may affect your progress and future booking availability.

8. Conduct & Expectations
• A safe, professional, and respectful environment is essential.
• Inappropriate, unsafe, or disrespectful conduct will lead to immediate session termination without refund.
• Open and honest communication is encouraged to get the most out of your sessions.

9. Photography & Promotion (Optional)
• With your consent, photos or short clips may be used for social media or promotional purposes.
• Consent is always requested and can be withdrawn at any time.

10. Contact & Communication
• Session-related communication is welcome during regular business hours.
• Please communicate any health changes, cancellations, or rescheduling requests promptly.
11. Travel
Travel Fee:
For sessions held at a location outside a ten-mile radius from my home address, an additional £15 travel fee will be applied to cover fuel, travel time, and vehicle wear and tear. For locations further than ten miles, please contact me for a custom travel quote.
